Privacy Policy
Last updated October 29, 2026
Carrier Companion is a transportation management system for trucking companies ("carriers"), a product of 3PL Systems, Inc. ("we", "us"). This policy explains what information we collect through the Carrier Companion website, web application, customer portal and driver mobile app (together, the "Service"), how we use it, and the choices you have.
1. Who this policy covers
- Carriers and their staff who use the web application.
- Drivers who use the Carrier Companion driver app on behalf of a carrier.
- Carriers' customers who use the customer portal.
- Visitors to carriercompanion.com.
Carriers decide what information they put into the Service about their own business, drivers and customers. For that information we act on the carrier's behalf and under its instructions. If you are a driver or a carrier's customer, the carrier you work with is your first point of contact for questions about your information, and we will help them answer you.
2. Information we collect
Account information. Name, email address, phone number, job role and password (stored only as a secure hash).
Business information carriers enter. Shipments, trips, stops, customers and their contacts, vehicles and equipment, rates, invoices, settlements, documents and notes.
Driver app information.
- Phone number or email, to sign the driver in.
- Location, only while the driver has started a trip in the app, to show the trip's progress to the carrier and its customers. Location sharing stops when the trip ends or the driver turns it off. The app asks for permission first, and drivers can change it at any time in their phone's settings.
- Photos and documents the driver chooses to capture, such as signed bills of lading and delivery receipts.
- Crash reports (app version, device model, operating system and the error), so we can fix problems. They do not include the driver's name, phone number or email.
Usage and device information. IP address, browser or device type, pages and features used, and diagnostic logs, which we use to keep the Service secure and working.
Cookies and similar storage. We use browser storage to keep you signed in and to remember your settings. We do not use advertising cookies.
3. How we use information
- To provide, operate and support the Service.
- To sign you in, including sending one-time sign-in and password-reset codes by email or text message.
- To send messages the Service needs to send, such as invoices and documents a carrier chooses to email.
- To keep the Service secure, prevent abuse and investigate problems.
- To improve the Service, including with anonymized, aggregated data that cannot identify you, your company or anyone else.
- To comply with the law.
We do not sell personal information, and we do not use it for advertising.
4. Text messages (SMS)
We send text messages only to people who ask for them. When a driver chooses "Text me a code" on the driver app's sign-in screen, we send one message containing a one-time sign-in code. We send nothing else by text: no marketing and no promotional messages.
- Message frequency: one message per sign-in request.
- Message and data rates may apply.
- To stop: reply STOP. For help: reply HELP or email support@carriercompanion.com.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. We share phone numbers only with the provider that delivers the message (Twilio), and only to deliver it.
5. Who we share information with
We share information only as described here:
- Service providers that run parts of the Service for us, under contracts that limit their use of the information:
- Microsoft Azure (hosting, storage and monitoring)
- Twilio (text messages) and Twilio SendGrid (email)
- Sentry (driver app crash reports)
- Anthropic (the optional in-app help assistant, which answers questions users choose to type)
- Mapping and address services, such as Google Maps, HERE and PC*Miler, to look up addresses, routes and mileage
- Services a carrier chooses to connect, such as accounting software (for example QuickBooks), telematics (for example Samsara), load boards, insurance providers and EDI trading partners. Information goes to them only when the carrier turns the connection on.
- The carrier's own users and customers, as the carrier sets up. For example, a carrier's customer can see the status of their shipments in the customer portal.
- For legal reasons, when required by law or to protect the rights, property or safety of our users, the public or us.
- In a business transfer, such as a merger or acquisition, subject to this policy.
6. How long we keep information
We keep information for as long as the carrier's account is active and as needed to provide the Service. After an account closes, we delete or anonymize its information within 90 days, except where we must keep it longer by law, for example for tax or accounting records. Information can remain in our database backups, which expire on a fixed schedule of up to 12 months and are used only to recover from data loss.
7. Security
Information is encrypted in transit and at rest, access is limited to people who need it, and sign-ins can require a one-time code. No system is perfectly secure, so please keep your password private and tell us right away if you suspect unauthorized access.
8. Your choices and rights
- Access, correction and deletion: you can update most information in the Service. To request a copy of your information, or to have it corrected or deleted, contact the carrier you work with or email support@carriercompanion.com.
- Location: drivers can turn off location sharing in the app or in their phone's settings.
- Text messages: reply STOP at any time.
- California and other state privacy rights: depending on where you live, you may have the right to know what personal information we hold about you, and to have it corrected or deleted. We do not sell or share personal information for cross-context behavioral advertising. We will not treat you differently for using these rights. To use them, email support@carriercompanion.com.
9. Children
The Service is for businesses and is not directed to children under 16. We do not knowingly collect information from them.
10. Changes to this policy
We may update this policy. We will change the "Last updated" date above, and for significant changes we will notify carriers by email or in the Service.
